Guidelines for Caterers Using Town Halls and Community Building

 
  • Details of the caterer using the kitchens must be stated on the booking form (i.e. the company name, registration number, contact address and telephone number).
  • Details of all equipment provided by the authority and that provided by the caterer must be agreed prior to the event or the function.
  • The caterer must ensure that all their equipment is tested and certified e.g. “Portable Appliance Tested” within the last twelve months and in good working condition.
  • The style of food service and the positioning of the serving stations must be agreed with the venue management prior to the event.
  • All table linen (including linen for the service station areas), napkins, cutlery and crockery must be provided by the caterer when outside catering is being provided.
  • No portable gas appliances are permitted within any authority venues.
  • All catering staff must have the appropriate food hygiene training and certificates. The Council cannot accept any responsibility for any breach of food hygiene regulations by outside caterers.
  • Caterers must confirm they have appropriate insurance 14 days prior to the event.
  • A fee for using the kitchen will be payable 14 days prior to the event. The times of use for the kitchen area will be confirmed with both the venue hirer and the catering manager. Any extra hours are to be charged to the event or the function hirer at the agreed hourly rate!
  • A refundable deposit of £100.00 will be payable by the event or the function hirer 14 days prior to the event to ensure that the kitchen and service areas are in a clean and tidy manner at all times and the venue management will undertake regular inspections of the catering areas.
  • All refuse disposals during the event must be managed and supervised by the external catering management.
  • All caterers must be registered with the Environmental Health Department of the local authority.
